Job management software for electricians: what UK firms should look for

A practical guide to choosing job management software for electricians in the UK, from certificates and forms to mobile use on site and pricing.

Running an electrical firm means juggling jobs, engineers, certificates and customers, usually while you are also on the tools or driving to the next site. The right job management software takes that admin off your plate. The wrong one becomes another thing the lads ignore. This guide covers what electricians in the UK should actually look for, so you choose something your team will use.

We make Engineer OS, which is built for exactly this kind of firm, so we have a horse in this race. The criteria below are the ones we would use even if we did not.

What electricians actually need from job software

Forget the long feature grids for a moment. For an electrical firm, the software has to do five things well.

1. Work on a phone, on site, properly

Your engineers are not sitting at a desk. They are in a loft, a plant room, or a customer's hallway, often with one hand free and a weak signal. If the app is really a shrunken desktop screen, it will not get used, and you will be back to chasing job sheets over WhatsApp.

Look for software that is genuinely mobile-first: installs to the phone home screen, works one-handed, and keeps working when the signal drops, syncing photos and forms once it returns. This single factor decides whether the rest of the system is worth anything, because if the data does not get entered on site, nothing downstream works.

2. Handle certificates and forms built for the trade

Electrical work is paperwork-heavy. You need digital forms that work on a phone and produce a clean PDF for the customer, covering the checks your engineers actually do, including service reports, risk assessments and cable install checks, with drawn signatures and auto-calculated fields.

You also need certificate tracking with expiry dates, so an engineer's qualification never lapses without warning. Engineer OS sends a daily digest email flagging anything approaching expiry, which keeps you compliant without you having to remember.

If you already run your own Word or PDF certificate templates, check whether the vendor will convert them into digital versions for you. We do that as part of onboarding.

3. Keep photos and documents attached to the job

"Send me that photo" is the most expensive sentence in field service admin. Good software captures photos on the phone, uploads them in the background, and files them against the job automatically, alongside documents, notes and signatures. Search a customer and you should see every job you have done for them and every file you produced. No more digging through camera rolls and email threads.

4. Schedule and dispatch without friction

From the office, you want to drag a job onto a calendar, assign one engineer or several, and have it land on their phones in seconds. The calendar has to be something the whole team trusts, otherwise people keep a private list on the side and the system stops being the source of truth.

5. Quote, invoice and get paid from the same record

Once the job is done and the form is signed, you should be able to raise the quote and invoice straight from that job rather than re-keying everything into separate accounting software. On Engineer OS, quoting and invoicing sit on the Growth plan, with Xero and QuickBooks sync so the numbers flow through to your accounts.

Pricing: what to expect

Field service pricing is usually per engineer per month. The established names often sit at £40 to £80 per engineer, which adds up quickly across a team. Engineer OS starts at £15 per engineer per month, with admins free and no setup fees, so an office-heavy firm is not penalised. Always multiply the per-seat price across your whole team for a year, including any setup costs, before you compare.

A quick buying checklist for electrical firms

  • Does it install and work properly on an engineer's phone, on a bad signal?
  • Do the forms and certificates match the work your team actually does?
  • Will the vendor convert your existing forms during onboarding?
  • Are photos and documents filed against the job automatically?
  • Can you schedule from the office and have jobs land on phones instantly?
  • Can you quote and invoice from the same job, with accounting sync?
  • What is the real cost per engineer per month across your whole team?
  • How long until you are live, days or weeks?

Try it on a couple of vans first

The only reliable test is putting the software on one or two engineers' phones for a week with real jobs and seeing whether they use it. Engineer OS offers a 14-day trial with no card required, and a typical 10-engineer team is live in under a week.
