Import a PDF form
Upload a PDF of a paper form or certificate you already use and Engineer OS drafts a digital template from it for you to check and publish.
Updated 11 October 2026
If you already have the forms you want (a commissioning certificate, a service checklist, a site survey), you don't need to rebuild them field by field. Upload the PDF and Engineer OS uses AI to draft a template from it. Nothing reaches your engineers until you've reviewed and published it.
Only owners and admins can import forms.
Importing a form
- Go to Forms and click Import from PDF.
- Choose the file. It must be a PDF of 20MB or less. For a paper form, scan it or photograph it into a PDF first.
- Wait while it's read. This usually takes 10 to 25 seconds.
You'll go back to the Form Templates page with a message that the import is ready to review. It appears under Drafts.
Reviewing the draft
Open the draft to see the editor next to your original PDF. Check:
- The name and category. The category defaults to General if the AI isn't sure.
- Sections and fields. Labels, field types, and which fields are required.
- Options on dropdowns and radio buttons.
- Table columns for any repeating rows.
- Help text. If the original form has calculations or "if yes, then…" questions, the AI notes them in the help text, because templates can't do either automatically. Decide how you want engineers to handle them.
Then:
- Save draft to come back later
- Publish to make it available to engineers on every job
- Discard to throw it away
If the import fails
- "Only PDF files are accepted" or "PDF must be 20MB or smaller": convert or compress the file and try again.
- "Could not process the PDF. Please try again.": usually temporary. Try once more.
- "The extracted schema failed validation": the AI couldn't turn the form into a valid template. Very busy or heavily graphical forms are the usual cause. Try a cleaner scan, or build the template by hand.
