Where completed forms appear
Submitted forms appear on the job page as soon as the engineer submits, with no need to refresh. Each one shows its reference (e.g. BF-00123-F1), the template name, who completed it and when.
Open a submission's actions menu to View it.
Correcting a submitted form
You have two options.
Edit it yourself. Choose Edit, change the answers, and give a reason. The change and the reason are kept in an audit trail on the submission. Use this for small fixes: a typo, a wrong serial number, a missed tick. Signatures and photo fields can't be edited.
Send it back to the engineer. Choose Void and instigate replacement and give a reason. The original is voided and the engineer gets a new copy to complete, with a Forms to redo card on their home screen showing your reason. The new copy starts blank apart from the automatic details, so the engineer has to fill in the whole form again. Use this when the form needs re-doing on site, for example new readings or a fresh customer signature.
To cancel a submission without a replacement, choose Void.
Downloading and emailing the PDF
On a submitted form, use the download icon to get the PDF, or the email icon to send it:
- Click the email icon.
- Type the recipient's email address. It isn't filled in from the customer record, so check you have the right one.
- Click Send.
The customer receives the PDF as an attachment. You can send to one address at a time; repeat for anyone else who needs a copy.
The PDF includes the form reference, job, customer, the engineer who completed it, the submission date, every answer, and signatures as images. Photos aren't included; download them from the job's Photos card instead.
Submitting a form on someone's behalf
If an engineer filled in a paper copy, or you completed the work yourself, click Submit form on behalf of… on the job page. Pick the form and the person it's for. They must be an active user in your company: one of the job's engineers, another engineer, or you.
The form is credited to the person you chose on the PDF and in emails. The job page also records that you submitted it.
