Track engineer certificates
Keep each engineer's qualifications, cards and training certificates on file, see what's expiring, and bulk-import certificates with AI.

In Engineer OS, certificates are your engineers' qualifications and competency records: things like BAFE, CSCS cards, IPAF, first aid or manufacturer training, each with an expiry date. (Certificates you issue to customers, like a BAFE commissioning certificate, are forms.)
Owners and admins add and manage certificates. Engineers can view and download their own.
Adding a certificate
- Go to Engineers and open the engineer.
- Open the Certificates tab and click + Upload Certificate.
- Enter the certificate name (required) and, if you have them, the issuer, issue date, expiry date and reference number.
- Attach the certificate file if you have one (up to 50MB).
Importing lots at once
If you have a folder of scanned certificates, use Bulk Certificate Import (from the Certificates area):
- Upload the files: PDFs or images (PNG, JPEG, WEBP), each up to 20MB.
- AI reads each one and fills in the name, issuer, dates and reference number.
- Check each row, choose which engineer it belongs to, and save.
Always check the dates. A misread expiry date means a missed renewal.
Seeing what's expiring
Certificates are colour-coded by how long they have left:
- Red: expired, or less than 30 days left
- Amber: 30 to 59 days left
- Green: 60 days or more
- No expiry: no expiry date entered
You'll see this in three places:
- Dashboard: a Certificates tile and a list of certificates needing attention
- Engineers list: a status for each engineer showing how many certificates are expired or expiring
- Engineer page: the Certificates tab, with the most urgent first
Check the dashboard regularly, as Engineer OS doesn't send you expiry reminders.
What engineers see
Engineers see their own certificates under Certs in the app, marked Expired, Expiring Soon (under 60 days), Valid or No expiry, and can download the files. They can't upload certificates themselves, so ask them to send renewals to the office.
Changing or removing a certificate
Certificates can't be edited or deleted in the app yet. When a certificate is renewed, upload the new one; the most recent expiry shows the engineer's current status. To correct or remove one entered by mistake, email support@engineeros.uk.
