Invite your team and understand roles
Add admins and engineers, what each role can see and do, and how invites work.
Updated 10 June 2026
The three roles
- Owner: the person who created the workspace. Has the same access as an admin, including billing and plan changes. There's always exactly one owner, the original account holder.
- Admin: the office. Full desktop view: calendar, all jobs, customers, quotes, invoices, form templates, settings, billing and reports. (When you invite someone, the choices are admin or engineer.)
- Engineer: the field. Mobile view of their own assigned jobs, job chat, photos, forms, and their certificates. Engineers don't see pricing, other engineers' jobs, or settings.
Pricing counts engineers only; owners and admins are free on every plan.
Inviting someone
- Open Engineers in the sidebar, then Invite.
- Enter their name, email, and role (admin or engineer).
- They receive a branded invite email. Tapping the button takes them to your workspace to set a password, then they're in.
Invite links are single-use and valid for one hour. If one has expired, send a fresh invite from the same screen, there's no harm in re-sending.
Tips
- Add engineers from a spreadsheet: if you're moving from another system, use Engineers → Import Staff to create your whole team from a CSV or Excel file in one go.
- Engineers should install the app: after their first sign-in on a phone, point them at Install Engineer OS on your phone. On iPhone, job push notifications only work once the app is installed to the home screen.
- Deactivating someone: set them inactive rather than deleting, their job history, photos and signatures stay attributed correctly.
